One of the most important developments in business AI is not simply the arrival of more capable models. These systems are moving directly into the places where work happens: CRM platforms, documents, communications and shared workflows.

From individual assistance to multi-step work

Recent analysis of AI for small businesses highlights a shift from assistants that help with individual tasks toward systems that can support longer activities and interact with business software. This changes the design problem: a good prompt is no longer enough, the process itself needs to be designed.

If a system can read data, create tasks or prepare communications, the business needs to define which sources it can use, what completed work means, which permissions it receives and where a person needs to intervene.

For a small business, it makes sense to begin with reversible activities such as preparing reports, classifying requests, research, summarisation or drafting. Actions involving payments, contractual commitments, sensitive data or delicate communications require much stronger supervision.

Two companies can use the same AI model and achieve very different results. The organisation with structured data, clear procedures and approval criteria starts with a substantial advantage.
